Role Overview
The Receptionist and Virtual Office Manager play a central role in ensuring seamless daily operations while delivering an exceptional first impression to every caller and contact. This position is ideal for someone who thrives in a fast-paced virtual environment, enjoys being the organizational anchor of a team, and takes pride in polished communication and proactive support. You will manage high-volume communications, coordinate calendars across time zones, and act as a trusted gatekeeper for leadership. Schedule:
Monday to Friday from 8:00 AM to 5:00 PM EST (USA)
Your Responsibilities Will Include but Are Not Limited To:
- Maintaining virtual office systems, including call routing, voicemail, and subscriptions
- Triaging and organizing the managing attorney’s email inbox
- Acting as a gatekeeper for leadership calendars and communications
- Reporting trends and meeting established response time and call quality KPIs
- Sending calendar invites, virtual meeting links, and appointment reminders
- Scheduling and coordinating consultations, meetings, and court calls across calendars and time zones
- Responding to routine client inquiries and routing substantive questions to the appropriate team member
- Identifying call purpose and escalating urgent matters immediately
- Greeting callers using approved scripts and routing calls appropriately
- Sending non-intake client communications such as review requests and case conclusion messages
- Preparing administrative spreadsheets, logs, and template-based communications
- Uploading, organizing, and securely managing digital documents
- Tracking daily call activity, missed calls, voicemails, and appointments booked
- Drafting administrative email responses using approved templates
- Monitoring and triaging general inboxes, categorizing and flagging messages
- Answering and managing all incoming calls during business hours using VoIP systems
What We’re Looking For:
- At least two years of experience as a receptionist, administrative assistant, executive assistant, or office manager role
- Experience supporting professional services environments, preferably legal or high-touch client service teams
- High level of discretion and confidentiality required
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
- Quiet, distraction-free remote work environment
