Role Overview
We are looking for a professional, compassionate, and highly organized Intake Specialist to serve as the first point of contact for potential clients. This role is crucial in creating a positive first impression, gathering essential case information, and ensuring callers are properly vetted and scheduled with the appropriate team members.
Schedule:
Monday to Friday from 8:00 AM to 5:00 PM MST (USA)
Your Responsibilities Will Include but Are Not Limited To:
- Supporting administrative tasks related to client onboarding
- Communicating with attorneys or team members when a caller requires immediate follow-up
- Scheduling consultations and ensuring all necessary information is prepared before meetings
- Vetting callers to determine eligibility, case fit, and next steps based on established criteria
- Answering and managing incoming phone calls while providing a welcoming and professional experience
- Maintaining accurate documentation and updating internal systems with intake notes and call details
- Conducting detailed intake interviews to collect essential information from potential clients
What We’re Looking For:
- Previous experience in intake, customer service, or client-facing roles preferred.
- Strong communication skills with the ability to build rapport quickly.
- Excellent listening, note‑taking, and information‑gathering skills.
- Ability to multitask in a fast-paced environment while maintaining accuracy.
- Professional phone etiquette and a calm, patient demeanor.
- Familiarity with CRM or case management systems is a plus.
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
- Quiet, distraction-free remote work environment
